Every capability of the system explained on one page: what it solves, how it works and what agencies ask.

Six pieces working on the same data: the product is loaded once, with its capacity, public price and net rate, and from there come the sale on the website, the assistant's reply, the quote, the buying agency's booking, the accounting entry and tomorrow's schedule. Each page explains what it solves, how it works step by step and which details change the daily work. The screens are from the real system, with sample data.

Bookings, capacity and the day sheet

Viajalo runs the bookings of an inbound travel agency with capacity per departure. Every excursion, transfer or service has its seats sold and available; if you move a departure to another time, the bookings move with it and no seat is lost. The day schedule and the driver sheet come out on their own.

WhatsApp with an AI assistant

Viajalo's WhatsApp assistant answers passengers from the agency's real catalogue (current prices, capacity and times), builds the booking link and, when the conversation needs a person, says so and steps aside. Everything stays in a shared inbox, linked to the lead in the CRM.

The quote as a web page

In Viajalo a quote is a web page of the agency's own, with photos, a map and a day-by-day itinerary, the total in the client's currency and a button to accept it. It goes out as a WhatsApp or email link, expires on the date the agency chooses and, once accepted, becomes a booking with its capacity already subtracted.

B2B network with current accounts

Viajalo's B2B network lets an agency sell its catalogue to other agencies. Each buyer comes in by invitation, sees the products at its own rate level and in its own currency, books on its own, and every sale is recorded on its current account, with a credit limit that stops the booking when it's reached.

Administration

Administration and real margin

Viajalo's administration keeps the agency's debit/credit ledger, the current accounts of clients and suppliers, receipts with their own numbering and taxes per product. With the supplier cost loaded, it shows the real margin of each excursion in its own currency, without adding pesos to dollars or inventing an exchange rate.

Your own site in more than 15 languages

Every agency using Viajalo gets a site of its own, on its domain and with its branding, where the passenger picks the excursion, the date and the number of people, pays and receives the voucher. It is available in more than 15 languages (Spanish, English, Portuguese, French, German, Italian, Hebrew, Chinese, Japanese and more) with the whole catalogue translated, not just the home page.

Catalogue

Catalogue and travel-trade rates

In Viajalo the agency catalogue holds its excursions, transfers, accommodation, packages and services, each with its currency, its public price and its price for other agencies. Rates are loaded per passenger category and per season, and the rules of the trade — minimum billable seats, night surcharge, private or shared departure, charging per person, per vehicle or per group — are configured once and hold across every sales channel.

Operations

Operations, suppliers and guides

Viajalo builds the agency's day: the schedule of departures, the sheet with each one's passengers, the pickup points and the supplier, guide and vehicle assigned. Every supplier has its record, its current account and its settlements, and a single booking can be split across several suppliers without stopping being one booking.

Payments and reconciliation

In Viajalo every payment stays attached to its booking: you send a payment link, the passenger pays by card or with the usual method of their country, and the booking changes state on its own. Transfers are uploaded with their receipt, the system reviews the file, and the confirmation is made by someone at the agency. Everything is reconciled per currency, never mixing the numbers.

Enquiries, customers and campaigns

Viajalo sorts the agency's enquiries by stage, each with its owner, its next step and the source that brought it — an ad, the website or a message. Every customer has a record with everything they bought and everything they asked about, and campaigns are built per segment and go out on trip events, without sending the same person the same thing twice.

Platform

Team, permissions and platform

Everyone on the team signs into Viajalo with their own user and sees what belongs to them: a front-desk agent does not need profitability and a guide does not need the cash box. Every change is audited with its author and its previous value, the in-system assistant explains how to do each thing and opens the right screen, and the API lets you connect the agency's website or the tool it already uses.
